Senior Practise Administrator (RO Level 1)

Purpose of the Job:

  1. Provide administrative services to the Unit in support of new business, client servicing, portfolio requests and business retention.
  2. Enable the Para Planner and the Executive Financial Advisor to manage their workflow and follow-ups.
  3. Manage data collection, logging and distribution to monitor Unit performance.
  4. Collaborate with Unit team members to ensure proactive and seamless client service. 


  1. Check that all documents received from Para Planner are FICA compliant and signed.

  2. Capture all policy details on Elite Wealth, upload confirmation and close workflow.

  3. Check accuracy of commission on quotes and applications – hand documents to Service Manager to include in production report.

  4. Capture policy and investment data on Elite Wealth or send data to Provider if > 10 clients.

  5. Follow-up on cases daily until accepted. Update follow-up notes on Elite Wealth.

  6. Send weekly case reports to clients updating them on progress where an upload is necessary.

  7. Pull statements from Providers when case is finalized. Add the benefits / investment details to Elite Wealth and send confirmation to clients.

  8. Send weekly feedback reports and unpaid reports to Para Planner and Executive Financial Advisor.

  9. Manage cases that are ready for acceptance in a week or a month, ensuring they are accepted.

  10. Perform risk profile check on all brokerage clients.

  11. Create workflows on Elite Wealth and index documents.

  12. Upload Liberty and Stanlib documents to Liberty vault.

  13. Request client statements from Providers and send “A” list clients their statements monthly.

  14. Pull monthly Ṡ14 fee renewals and e-mail to clients.

  15. Pull annuity reviews and e-mail to clients.

  16. Capture and update client information on CRM system

Competencies (RO Level I):


  • Matric or equivalent.
  • Industry Specific Tertiary Qualification
  • At least 3 years administrative experience in the Life Assurance or Investment industry.
  • A verifiable and positive employment track record.


  • Demonstrated intermediate (or advanced) Word, PowerPoint, Excel and Outlook skills.
  • Sufficiently computer literate to learn and apply new IT skills as required.
  • Strong written and verbal communication skills in English.
  • Solid financial and business acumen.
  • Basic conflict resolution skills.
  • Target and process driven.
  • Basic problem-solving at a logic level.
  • Ability to make decisions within the job parameters.
  • Customer service orientation.
